Descripción de la Plaza/nAbout the role
We are looking for an energized, motivated and experienced Office Manager. The Office Manager will organize and coordinate office administration and processes to ensure supplies procurement, organizational effectiveness and efficiency, and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, office maintenance, inventory control, office staff supervision, and task delegation. The role reports to the Finance & Administrative Director.

Responsibilities
Experience has taught you what works, and you will be responsible for:
Managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, seating plan and parking are assigned following business requires, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
Being the point of contact for maintenance, mailing, shipping, supplies, equipment, bills and errands
Managing relationships with vendors, service providers, and landlord. Manage contract and price negotiations. Ensuring that all items are documented, invoiced, and paid on time.
Monitoring and maintain office supplies inventory
Ensuring office financial objectives are met by following an annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise
Maintaining a safe and secure working environment and collaborate with the EHS initiatives.
Organizing and scheduling meetings and appointments
Providing general support to visitors
Managing executives' schedules, calendars, and appointments
Performing administrative and secretarial responsibilities and tasks
Partnering and providing support to other departments. Working in cross-functional teams, such as IT, HR, Finance and others
Actively participating in the planning and execution of company events

So, what do you need to be successful? Besides a great attitude…

You must have:
Minimum 3 years of experience in office management, business administration and/or other administrative support experience
Fluency in English (B2 or above)
Working knowledge of office management responsibilities, systems, and procedures (including facilities, inventory management and procurement)
Experience providing administrative support to executives
Working experience and proficiency in MS Office (Word and Excel)
Experience using different computer programs and/or office software

It would be awesome if you also have:
Bachelor's degree in management, business, or related field
