The Contract Record Processor is responsible for the upload of contract documents into the global contract database tool (GRACE). This ensures a compliant documentation of all contractual obligations of suppliers and Roche and makes contract related information available throughout the Global Procurement organization. By transmitting relevant contract data into transactional procurement systems this role is also responsible for enabling Shopping Cart and PO processing as well as automated contract call-offs. Thus, the role contributes to overall increase of transparency, data consistency and efficiency, in line with Procurement Strategy and Category objectives.

During daily work the Contract Record Processor interacts with other roles to make sure that processes are running smoothly, especially with: Contract Requestor, Transactional Buyer, Contract Manager as well as Contract Record Teamlead and Contract Record SME.

Depending on experience a differentiation is made between Contract Record Processor Junior and Contract Record Processor Senior. While the Junior role is able to process vast majority of processes/ work items (but can have still questions regarding complex/ rarely incurring cases), the Senior role has more experience (incl. knowledge about end-to-end processes, contact persons, exceptional cases in the past, etc.) and can thus solve all the cases and also answer related questions to the Junior role.

Primary responsibilities

Service delivery execution accountabilities

- Continuous service delivery: Execute the day-to-day activities according to the agreed service level and in compliance with the SOPs of the respective contract management process and sub-processes. These activities comprise esp. the following:
- Assess contract upload/ update requests.
- Archive contract document by uploading it into contract database.
- Activate contract info.
- Transmit contract data into operational procurement system, if relevant.
- Maintain contract records.
- Following working instructions: Follow the instructions of the Team Lead regarding the daily work coordination.
- Performance improvement: Contribute continuously to the improvement of the performance of the team, by constantly gathering experience and improving the quality of task execution.
- Ticketing tool handling: Utilizing ticketing system for incoming requests and issues during daily service delivery.
- Support end-users and requestors: Support end users and requesters on system related questions, proper system usage, searching contract documents in the system, ensure relevant system usage and solve simple issues, etc.
- Channel process/ system change requests: Route request to relevant colleagues.
- Initiate supplier onboarding: trigger supplier registration in the vendor master data management system.
Education, experience and skills

Required

- University degree is a plus.
- 3-5 years’ Procurement operational or support experience.
- 3+ years’ experience in system support.
- 2+ years’ capability specific experience.
- MS Office knowledge.
- Experience in system support.
- Demonstrated problem solving skills.
- Excellent communication skills to varied stakeholder audiences.
- Team player with demonstrated strong interpersonal skills.
- Service orientation.
- Precise, focused working mode.
- Strong collaborator in a multi-cultural environment.
- Business level fluency in English.

Desired

- Experience in any area of SAP ERP.
- Experience with Procurement systems e.g. SRM.
- Experience in Shared Service or Customer Service Centre.
- Understanding of (Roche’s) Procurement and Sourcing processes.
- Language knowledge in English and Portuguese.
