Job Description The Pharmaceutical Regent is responsible for overall development, implementation, and upkeep of the Expeditors Quality Management System (QMS) regarding Medical Devices, Products and Process. As the Pharmaceutical Regent you will also be responsible for ensuring compliance with CGDP (current Good Distribution Practice). Guidelines on Good Distribution Practice of Medicinal Products for Human Use according to local and international regulations. KEY RESPONSIBILITIES: People: The Pharmaceutical Regent should ensure that initial and continuous training programs are implemented. Applies sound communication and motivational techniques in training, coaching and disciplining associates. Collaborate in work procedures and expedites workflow. Operations: The Pharmaceutical Regent should ensure that a QMS (regarding Good Distribution Practice) is implemented and maintained. He/she should focus on the management of authorized activities and the accuracy and quality of records. He/she should be responsible for coordinating and promptly performing any recall operations for medicinal products. The Pharmaceutical Regent should ensure that relevant customer complaints are dealt with effectively. The Pharmaceutical Regent should approve any subcontracted activities which may impact on GDP. Oversee and ensure compliance with Expeditors Operational Process Standards. Day to day supervision to ensure compliance with local regulations. Customer: Support the manager and or GBO department where needed: Makes introductory contact with new accounts (Pharma Division) and maintain effective relationships with existing accounts. Addresses the more complex and non-routine customer issues and requests. Collaborate in implementations (Pharma Division), gathering all necessary. The Pharmaceutical Regent should ensure that suppliers and customers are approved. The Pharmaceutical Regent should follow customers instructions on the final disposition of returned, rejected, recalled or falsified products. He/she should follow customers instructions relating to the approval of any returns to stock. The Pharmaceutical Regent should be always contactable. The Pharmaceutical Regent should ensure that any additional requirements imposed on certain products by national law are adhered to. Finance: Works with the Distribution Manager to help develop and recommend the annual departmental operating budget, making said budget consistent with the desired customer service levels and necessary equipment upgrades. The Pharmaceutical Regent should ensure that self-inspections are performed at appropriate, regular intervals following a prearranged programmed and necessary corrective measures are put in place. He/she should keep appropriate records of any delegated duties. Promote compliance in diligently following all company policies and regulations and in being the role model of integrity and pride for all employees. Audits all new account and follows up on responsibilities of the Operational and Administrative Staff. Proactively communicate with the team to ensure continuous awareness and understanding of policies and regulations. Maintain a positive relationship with the Trade Compliance Manager and support all compliance efforts and trainings. Systems: Develops procedures to ensure the efficient operation and utilization of office equipment. Be involved and suggest system/process improvements. KNOWLEDGE, SKILLS AND BEHAVIOURS: Knowledge: Expeditors company policies and procedures knowledge. A good understanding of Expeditors' products, services and systems. Strong market and competition knowledge. Storage conditions/requirements for different types of pharmaceutical product. GDP legislation and relevant guidance. Requirements for storage facilities, temperature control and monitoring programs, including mapping and qualification. Quality Management Systems and how to manage these effectively. Handling of returns/complaints/recalls. Risks associated with Falsified Medicines. Expectations of a robust Technical (Quality) Agreement with any sub-contractors. Trained auditor. Skills: Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results. Good Microsoft Office skills (Excel, Word etc.). Requires direct warehouse-related experience in customer service, implementations, auditing, controlling and organizing. Communication skills are necessary to establish effective working relationships. English Fluency. Qualifications Education and Experience: • Bachelor's degree (B.A.) from four-year college or university. • Experience of picking /packing procedures and FEFO (First Expiry, First Out) principles. • Handling complaints and customer queries. • Active involvement in GDP regulatory inspections. • Audited internally to monitor the Quality Management System (QMS) and preferably also external audits covering the various stages in the distribution process. • Service Provider approval process.
